By using this website and the vehReports application, you are deemed to have read and agreed to these Terms & Conditions.
"Client", "You", "Your" — the person or organisation accessing this website and accepting these terms. "Company", "Ourselves", "We", "Us" — MATIC AUTOMOTIVE LIMITED (the operator of vehReports). "Service" — the vehReports application, marketing website and associated digital products. "Party", "Parties" — both the Client and ourselves. Terminology in singular/plural and gendered pronouns is interchangeable. The Service is governed by the laws of England and Wales.
1. The vehReports service
vehReports is a digital vehicle inspection, rental agreement and DVLA-lookup platform for UK B2B customers — rental operators, leasing companies, dealers, fleet managers, valeting and restoration businesses. Use of the Service is subject to these Terms, the Privacy Policy, and any plan or feature-specific limits we publish.
We may add, change or remove features at any time. We will not materially reduce the features of a paid plan during an active billing cycle without notifying you.
2. Accounts, accuracy and security
You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You agree to provide accurate, current and complete information at registration and to keep that information up to date.
You are responsible for the accuracy of data you enter into the Service — including vehicle data, customer data, inspection findings, signatures and any free-text content. We provide tools that retrieve data from third-party sources (including DVLA and commercial UK vehicle-data providers — see our privacy policy for the current list) but we do not guarantee the accuracy or completeness of third-party data.
3. Credits, billing and payment
vehReports operates a credit-based pricing model. One credit equals one full vehicle report (including DVLA registration data, MOT history and vehicle history checks where applicable). Credits are purchased in packs or accumulated via the Plus subscription.
Pricing: the current credit price, bundle pricing and Plus subscription rate are published on our Pricing page. We reserve the right to change pricing with reasonable notice; existing credit balances are not retroactively repriced.
Payment processing: all card payments are handled by Stripe. We do not store full card details. Mastercard, Visa, Amex and other Stripe-supported payment methods are accepted.
VAT: invoices are issued from MATIC AUTOMOTIVE LIMITED and include VAT where applicable. VAT-registered businesses can reclaim VAT through the normal channels.
Late or failed payments: failed subscription payments may incur a £25 administration fee plus any direct costs incurred. Outstanding monies past their due date may incur late-payment interest at 8% above the Bank of England base rate. We reserve the right to suspend access to the Service while a balance is outstanding and to seek recovery through collection agencies or the Small Claims Court.
4. Credit expiry
Credit expiry depends on the plan under which the credits were obtained:
- Free Basic plan: credits expire 1 month after issue.
- Credit bundles: credits expire 2 months after purchase.
- Plus subscription: credits roll over while the subscription remains active and expire at the end of the billing period following cancellation.
Expired credits are not refundable.
5. Cancellation and refunds
You can cancel a Plus subscription at any time from your account settings or by contacting support. Cancellation takes effect at the end of the current billing period. No refunds are issued for the current period, and credits issued under that subscription remain usable until period end.
Bundle credits are non-refundable once purchased. If you believe a payment was taken in error, contact [email protected] within 14 days.
6. Termination
Either party may terminate access to the Service. We may suspend or terminate accounts that breach these Terms, are used unlawfully, or breach our Fair Use Policy. Termination ends your right to access reports, agreements and other content on the Service. You may export your data before terminating; data extraction fees may apply at reasonable commercial rates after termination.
We will retain data in line with our Privacy Policy after termination.
7. Free templates and lead magnets
vehReports publishes free downloadable templates (e.g. our rental damage dispute response letter and DVSA walkaround checklist). These templates are provided in good faith for informational use. They are not legal advice and do not constitute a contract between you and us.
You may use, adapt and rebrand the templates within your own business without attribution. You may not resell them as standalone products.
8. SMS communications
If you opt in to SMS notifications (via Twilio integration), we will use your mobile number to send transactional messages related to your account, tickets, agreements and report sign-offs.
Message frequency: driven by your usage of the platform.
Opt-out: reply STOP to any SMS, or contact [email protected].
Help: reply HELP or contact support.
Carrier rates: standard message and data rates may apply.
9. Disclaimer, exclusions and limitations
The Service is provided on an "as is" basis. To the fullest extent permitted by law, MATIC AUTOMOTIVE LIMITED excludes all representations and warranties (express or implied) relating to the Service, including in relation to inaccuracies or omissions in third-party vehicle data; and excludes all liability for damages arising out of or in connection with your use of the Service.
This includes, without limitation, direct loss, loss of business or profits, damage caused to your hardware or software, and consequential or incidental damages. We do not exclude liability for death or personal injury caused by our negligence, or for any other liability which cannot lawfully be excluded. Your statutory rights as a consumer (where applicable) are unaffected.
10. Availability and service level
We aim to keep the Service available 24/7, but we do not guarantee uninterrupted or error-free operation. Planned maintenance is announced in advance where possible. The Service depends on third-party providers (DVLA, commercial UK vehicle-data providers, Stripe, Twilio, hosting providers); availability of those services is outside our direct control.
11. Fair use policy
It is unreasonable use of the Service where your usage is reasonably considered by MATIC AUTOMOTIVE LIMITED to:
- be fraudulent or unlawful;
- involve automated scraping or unauthorised resale of vehicle data;
- cause significant infrastructure load that disrupts other users;
- repeatedly violate rate limits without prior agreement.
We reserve the right to apply additional charges, throttling or suspension where Fair Use is breached, with reasonable notice.
12. Intellectual property
Copyright, trademarks and other intellectual property rights in the vehReports platform, marketing website and our published content remain the property of MATIC AUTOMOTIVE LIMITED. You retain ownership of the data you upload to the Service. You grant us a limited licence to host, process and back up that data for the purpose of providing the Service to you.
13. Privacy
Our handling of personal data is governed by our Privacy Policy. By using the Service you agree to that Privacy Policy.
14. Links
You may not create a link to any page of this website without our prior written consent. We are not responsible for the content of third-party websites linked from the Service. You leave our site at your own risk.
15. Force majeure
Neither party is liable for failure to perform an obligation due to an event beyond reasonable control — including acts of God, terrorism, war, civil unrest, pandemics, natural disasters, or major infrastructure failures.
16. Governing law
These Terms are governed by the laws of England and Wales. By using the Service, you agree to the exclusive jurisdiction of the English courts in all disputes arising out of such use. If any provision is held invalid or unenforceable, it will be severed and the remaining provisions remain in force.
17. Changes to these Terms
We may update these Terms from time to time. When we make material changes, we will revise the "Last updated" date above and, where the change affects paying customers, notify you by email. Continued use of the Service after a change takes effect constitutes acceptance of the revised Terms.
